Aledo Athletic Booster Club Meeting

1 September 2008


Present:  Judy Ates, Max Ates, Jennifer Boland, Maureen Bottom, Coach Buchanan, Brenda Cheatham, Jim Cheatham, Lori Cook, Mark Cook, Carolyn Conn, Kittie France, Gretchen Gaskill, Gina Hasley, Jimmy Hasley, Karen Hawkins, Laura Heiss, Phil Kite, Becky Law, Gaye Lowe, Rob Lowe, Chuck Meyer, Cindy Seliga, Barbara Russell, Cynthia Sadler, Scott Sadler, Laurie Sheridan, Tammy Viken, Judy Wallace, Craig Whisnand, Mike Williams, Robbie Williams, Geri Womack, Jonathon Womack.

Secretary’s Report - Cindy Seliga submitted and motioned for approval of the minutes from the August 25th meeting as posted on the website.  Tammy Viken 2nd.  Motion passed.

Treasurer’s Report – Craig Whisnand reported and motioned that the account balance as of 8/31/2008 is $33,519.54.  Ten checks were written totaling $12,939.75 and ten deposits were made totaling $21,619.00. Program ad deposits this year total $25,479.04 and the membership deposit so far this year is $5,675.00. Jen Boland 2nd. Motion passed.

President’s Report -

  • President – Rob discussed the need for volunteers to assist in the various programs supported by the Booster Club. Booster Club members are encouraged to reach out to the community and other families and encourage involvement in the efforts of the Booster Club. Concession duty will be a must for every football family.  There has been exceptional participation in the Booster Club so far this year.  Rob also advised that information is available upon request regarding the benefits that each sport receives from the Booster Club.  Last year $95,000.00 was distributed to meet team requests for support.  
  • VP of Fundraising – A parent rep is needed for each team to coordinate concession duty staffing.  Each football family is needed to support at least one concession duty period.     
  • VP Communications – The website for the Booster Club is www.bearcatboosters.com.  Announcements are posted to the website as they become available.  A mailing list has been built based on website requests and membership forms.  If you are not receiving emails and desire email notifications, you can sign up for the mailing list on the website.  
  • VP Team Relations – Jen Boland may be contacted for information related to donations and decorations. Contact number is 817-825-8327. Jen extended a thank you to all those who have contributed.

Athletic Director’s Report – The first week of school went well.  Coach Buchanan reminded everyone how important it is to proactively promote the Booster Club’s assistance and support of all Athletic Department sports.

Committee Reports:
  • Membership - Laurie Sheridan reported that the Booster Club membership is now at 103 for the 2008/2009 membership year. For those members who have not received membership items, please contact Laurie.
  • Program – The program will incur a printing cost this year, however, Pressman printing is printing at cost. The program will be sold for $5 this year. The program is schedule to go to print on September 12, 2008.  
  • Merchandise – Brenda Cheatham reported that T-shirt sales have started.  T-shirts cost $12 this year, including sales tax.  Many other new items will be available this year. Please stop by the merchandise booth.

Old Business – None

New Business -
  • After Game Meal – Laura reported that after game meal donations for the Stephenville game were great.  Additional donations may be dropped off at Railhead’s banquet room for next Friday’s game.

Team Reports -
  • Golf – Golf is proceeding with qualifying rounds and receiving schedules.
  • Tennis – The first district match for tennis will be September 2nd against Brewer.
  • Volleyball – no report
  • Cross Country –Cross country is actively participating in meets and doing well. August 30th participated in the Haltom 8-Mile relay and September 6th will participate in the Boswell Pioneer Trail Run
  • Football
    • Freshman Black beat Stephenville 34-12
    • Freshman Orange tied Stephenville 6-6
    • Sophomore beat Stephenville 14-0
    • JV beat Stephenville 34-0   
    • Varsity beat Stephenville 24-20 in a great game
    • Next Varsity game @ Grapevine on September 5th

The next meeting date will be September 8th, 2008, at 7pm in the Distance Learning Center.
