Aledo Athletic Booster Club MinutesAugust 6, 2007 Present – Brenda Cheatham, Gretchen Gaskill, Debbie Day, Penny Barrett, Craig Whisnand, Glenna Loftin, Rebekah Bryant, Cynthia Sadler, Coach Buchanan, DeAnn Jones.
Legends of the Fall – Craig said there may still be an issue regarding us owing more money. He will be in touch with Patti Cox to get this resolved.
Concessions – Glenna has a call in to Lillian Hale to see if she is interested in closing the concessions at home football games. Penny will get a schedule of openings/closings for old Bearcat Stadium. She will also make a schedule for all sports and notify them of when they will be working concessions. If they are unable to work on the assigned day, they must re-schedule with Penny. All teams will split % of sales with Booster Club – possibly 75/25. A total of profits in concessions will be split 50/50 with band.
Merchandise – Cynthia asked for the board’s opinion, and it was decided that she will not order the root ‘n toots this year. She will order 2 new styles of hats and repeat 1 style from last year. Shirt design was decided upon and she will place the order this week. The flip-flops are in abundance and need to be sold/given to reduce inventory. Cynthia would like a contact person from each school as well as a main contact person to coordinate with all of the schools in regards to merchandise sales.
Program – As of today, there is $15,898 in ads sold as reported by Rebekah Bryant. The new deadline for getting an ad is August 13th. Need to get senior pictures on August 19th. Hope to have programs ready by first home game. Brenda Cheatham made a motion to give Scott Harrison (Bearcat Radio) an ad in exchange for radio time. Craig Whisnand seconded. Motion passed. Cowboy Bob would like to have raffles for the bar-b-ques at the games again this year. Craig said he would volunteer for this. Booster Club board member picture for the program will be August 18th at 9:30 am. Meet at stadium (there is an inter-squad scrimmage).
Communications – Gretchen Gaskill is working to create a mailing list for booster club members that will hopefully not cause the recipient’s spam blocker to block the messages.
Membership – Laurie Sheridan is getting copies of the membership application made in preparation for the new year.
Old Business – Chuck Mooney from First American Payment Systems, L.P. let us know that the Aledo ISD School Board gave their permission for the Booster Club to partner with First American. He would like to have an introductory letter with their logo as well as that of the AISD to present to merchants explaining our partnership. He would also like to purchase an ad in the program and also on the website. He would also like to get some kind of window deal to give to merchants that join the program. He will go through the East Parker County Chamber of Commerce to identify local merchants. His company can support e-commerce (to join booster club online) as well as furnish wireless machines to use at football games for credit card merchandise sales. Chuck would like to acknowledge merchants who are a part of the program on the booster club website and radio. Cynthia Sadler made a motion to partner with First American Payment Systems. Gretchen Gaskill seconded. Motion passed.
Glenna Loftin reported that we have obtained our tax exempt status and we now have a tax ID #. The booster club must file a form 990 each year. DeAnn Jones will contact Cory Moore to see if she would volunteer to file this form for the booster club.
New Business – Requests for funds:
- Coach Buchanan requested money for a 12 month subscription to the Clearing House Calculator. He will use the 1st free month to see if this is worth the subscription, then purchase if needed. Gretchen Gaskill made a motion to provide funds. Craig Whisnand seconded. Motion passed.
- Volleyball made a request for $1600 for an out of town Abilene tournament. Motion by Brenda Cheatham to provide funds. Second by Rebekah Bryant. Motion passed.
- Coach Buchanan made a request for $395 for computer training for the coaching staff. Penny Barrett made a motion to provide funds. Gretchen Gaskill seconded. Motion passed.
- Request for $1200 for a bookcase in Coach Buchanan’s office. Craig Whisnand made a motion to provide funds. Second by Debbie Day. Motion passed.
Next general meeting will be August 27th at 7pm in the Distance Learning Center.
